Payment

A booking fee of £100 is required to secure the day and full payment must be received 4 weeks in advance of the event. Additional DVD's are chargeable at £20 per copy.

Permission to film

It is the responsibility of the client to ensure that permission has been granted to film at all locations, please note that a licence may be needed to film in a church and this is generally obtained through the church office.

Background music

Licences are required to record while music is being played and is determined by the type of music played. Special Memories will order all suitable licences on your behalf.

Delivery time

The time it takes to edit your DVD will vary with the amount of footage taken and with the complexity of the editing required. Every effort will be made to complete your DVD as soon as possible. We anticipate that a client draft will be available approximately 6 weeks after the event and we will keep you informed on progress as required.

We will assume that you accept the quality of the DVD unless you tell us to the contrary in writing within 2 weeks of the DVD being sent to you. If you do notify us within that period, you must also tell us what your complaint is in as much detail as possible. If we do not receive any complaint within that period we shall be entitled to assume that you are satisfied with it and we will be under no further obligation to accept any complaint, unless we then agree. We will use all reasonable efforts to deal with any complaint promptly and if it is something that is justified and we can remedy, we will do so. If we do not consider your complaint to be valid then we will tell you promptly.

If you disagree with our assessment you may write to our professional association's Arbitration Service and request them to investigate the matter. Their details are: The institute of Videography, PO Box 625, Loughton IG10 3GZ. In referring a complaint to them, we will agree to comply with their decision which will also be binding on you.

General

Special Memories cannot be held responsible for any equipment failure or malfunction during the making of this DVD. The master tape will remain the property of Special Memories and we reserve the right to use the master tape for any promotional purpose.

We do not expect to eat with the guests, but would require that arrangements be made for a hot meal (of at least 2 courses) to be provided along with soft drinks. If this is forgotten, suitable refreshment will be purchased and charged to you prior to collection of your DVD

Special Memories are not accountable for any unforeseen problems that may occur travelling to venues or during video filming. We are only human and regularly check all equipment and, if possible, carry spare equipment, but we shall not whatsoever, be liable for any unforeseen losses, omissions or problems that occur during filming or in post production and will only be liable for, at the owners discretion, to reducing the original cost or a refund in extreme circumstances.


Cancellation

The client may cancel the contract at any time by giving written notice to us, but in doing so shall forfeit any monies paid. Should we receive cancellation less than 8 weeks prior to the date of the event, the client shall in addition pay a sum equal to 100% of the contract value less the booking fee.  The said sum shall be payable as compensation as an estimate of the loss we would suffer.
